COMPOSING A MEMO    4
TO:All Staff Members
CC:DONNA GIBSON, VICE PRESIDENT
Amonthly staff meeting has been setup for Monday June 2, 2014, in thefirst week of June. The meeting which will be held in the ConferenceRoom B, located on the second floor starting 9.am, has been called todiscuss work concerns that members of the staffs might have. As abusiness entity that has various departments with fulltime andpart-time workers, it is imperative that all staffs assist themanagement in shaping up the human resource department. There aremany issues that staffs may wish to share in the same platform withDonna Gibson the Vice President during the meeting that will take3hours. It has come to our attention that there are cases of the worknegligence, low morale, and uncooperativeness among the junior staffsand general indiscipline among the staffs this will be addressedduring the day’s agenda. In line with this, we hope to hear thestaffs concern in regard to our intended changes in business hours.
Inparticular, as a measure of forestalling the current hard economictimes, we intend to cut on operation expenses by slightly changingbusiness hours. This will be achieved through allowing some staffs onduty few hours in a week to save on operational costs. The storeswill be closed on all Sundays, but business operations within a weekwill be slightly affected by opening one hour later than usual andclosing an hour earlier than usual this is where the problem of workpunctuality will be assessed. Please note that, this arrangement hasnot been implemented, but we hope to make these changes as from nextmonth. However, we acknowledge that this will affect our clients aswell as the employees but it is a necessity that the business musttake for a short while. In this context, all fulltime employees willwork four, eight hour days per week while the part-time staffs willhave to adjust their working hours based on hours worked per week. Itis imperative to note that, this slight change will not affectsalary, although we intend to cut on free lunch and morning tea. Inthe meantime, no stores will be closed and you are obliged to offerexcellent customer services as you have done in the past. We hope youaccept our sincere apologies on this issue as we look for strategieson the way forward.
Anotheraspect that warrants the call for this meeting is on issues of racismand gender harassment. Last month, a female staff was harassed by hercolleagues on unknown grounds. In a similar note, Mr. Jackson wasreportedly racially abused by his colleagues at the store. It isbased on these precincts that the oncoming meeting is arrangedcourtesy of Mr. Donna Gibson, the business Vice President, in orderto deliberate on these and more issues. A disciplined and moralworkforce transcends to customers who are the pillar of business. Therefore, the enterprise wishes to create a competent workforcewhose actions, moral and services impact positively on the customers. It is also important to reiterate that, West Coast Supply values itsstaffs in equal measure to clients. As such, we request each employeeto be prepared for a cordial discussion on how to define our businessand forge ahead as a team focused on achieving optimal businessreturns.
